Does Chartnote integrate with my EHR?

Chartnote is a web application that helps clinicians expedite medical documentation using smart templates and voice recognition. When using our web platform, you can use Chartnote as a “notepad” alongside your EHR to help you create a note while gathering information from the EHR. Users can continue to dictate in the background while reviewing the chart, viewing images, or checking lab results. After finishing the note, the content can be transferred to the EHR with a simple copy-paste.

Users can dictate and insert snippets directly on any web-based EHR by using Chartnote Chrome extension. EHRs like athenahealth, Practice Fusion, eClinicalWorks, Elation and others are compatible with our extension. We continue to develop our platform, and we plan to offer full integration with legacy EHRs like Epic or Cerner.

Our mobile app can connect to our Chrome extension so you can use your smartphone as a microphone and dictate directly into your EHR on the go. Chartnote mobile is available on the App Store and on Google Play.

What is Chartnote Copilot?

Chartnote Copilot was designed to further assist medical professionals in their documentation process using AI and natural language processing (NLP) technologies. Our AI chatbot can help the clinician accomplish many different tasks. Healthcare professionals can enter a query or prompt in plain natural language and get a response. It uses NLP algorithms to understand the context of the medical note and generate relevant suggestions or answers.

For example, Chartnote Copilot can analyze a note and give relevant billing codes, write patient discharge instructions, or calculate risks of disease using clinical prediction tools. It can also create a note from a short abstract of the patient presentation. Chartnote Copilot has general cognitive skills and can help our users accomplish many different tasks.

Does Chartnote offer a free trial?

We sure do. Any user can register for a free Basic account. No credit card required. Free for life. With a free account you get access to our web platform, mobile apps, and Chrome extension. Take advantage of thousands of snippets and smart templates preloaded on your account and discover thousands of snippets from other users in the public library. Basic accounts have a monthly limit of dictation time and zaps or snippet expansions.

Do you offer any discounted plans?

Yes, through choosing a yearly plan, you will receive up to a 20% discount.

How do I cancel my Chartnote subscription?

If you’re not completely satisfied with your paid Chartnote subscription, whether it’s Premium, Professional, or Max, you can downgrade anytime. After downgrading, your account will retain its current features until the end of the prepaid period, after which it will revert to a free Basic account. Subscriptions for Team members follow a similar process. Team administrators can adjust the number of purchased seats as needed. If seats are reduced, access to those seats will remain until the prepaid period ends. Afterward, only team members with an active seat will retain access to the Team.

How are users counted towards billing for the Team subscription?

A Chartnote user who is added as a member to a Team, either as a regular member or as a team admin, is considered a billable team member that is included in the cost of the monthly or yearly Team subscription plan.

Team administrators may update the number of seats purchased at any time. If the number of seats decreases, access to purchased seats will be retained until the end of its prepaid service period. At the end of the prepaid service period, only team members with an active seat will have access to the Team.

How secure is Chartnote?

Chartnote data is end-to-end encrypted on AWS servers, and we follow strict privacy policies to safeguard your data. The AWS infrastructure is one of the most secure cloud computer environments available today. Data is encrypted at rest and in transit.

All data transmitted for transcription and AI services is handled with strict adherence to privacy and security standards, in compliance with data protection laws (Including HIPAA, PIPEDA, and GDPR). This ensures that your data and any protected health information is not sold or shared without proper authorization.

HIPAA business associate agreements (BAA) are available for Team subscriptions or upon request for paid subscribers.

What is a credit?

A credit is a unit that grants access to Chartnote's AI-Assisted note generation services: AI Scribe and Voice Chart. Each credit provides up to 2 hours of recording time for AI Scribe to transcribe your patient interactions into clinical notes, or for you to dictate a note using Voice Chart.

Your subscription plan determines how many credits you receive monthly:

Basic: 15 credits per month

Premium: 20 credits per month

Professional: 30 credits per month

Max: unlimited credits per month

Team Max: unlimited credits per month, per user

If you run out of credits before your next billing cycle, you can purchase additional credits to maintain seamless access to the AI services. This flexible, pay-as-you-go system ensures you only pay for what you need based on your documentation requirements.
